ACCOUNTING

Accounts Payable

Streamline data entry and efficiently handle the normal accounts payable function of invoice entry and check printing. It is also designed as a cash management tool allowing the contractor to take discounts, retainage or holdback and analyze cash requirements. Controls costs by comparing invoices with quoted costs on subcontracts and purchase orders. With Automatic Invoicing, PDF invoices are turned into validated, unapproved invoice entries in Vista without manual entry.

Accounts Receivable

Designed to address contractors’ unique requirements for receivables management, this module is fully integrated with the Vista Job Billing and Material Sales modules for automatic generation and recording of invoices. The status of both customer accounts and contracts are easily available at all times. With seamless integrations to General Ledger and Cash Management, the financial condition of your business is always up-to-date and online.

Cash Management

Providing contractors with accurate, up-to-date information on their cash position, the system is fully integrated with Payroll, Accounts Payable, and Accounts Receivable to handle checks and deposits in multiple bank accounts while an on-screen inquiry of a cash account shows the current checkbook balance. Account transfers, interest and bank charges may be entered directly and corresponding General Ledger entries are made.

Document Management

Replace network drives and cloud storage. Organize, share, secure and collaborate on project documents, of virtually any file type, from anywhere, anytime. Document Management delivers an intuitive and useful tool for attaching, indexing, and routing documents throughout your organization. You also have the ability to attach transaction documents to existing data records.

  • Job Billing (AIA): Maximum flexibility in formatting invoices to meet your customers’ requirements. Provides percent complete, unit and T&M billings designed to match construction specific processes.
  • Job Cost: The place where estimated job costs, actual job costs, projected and committed job costs, and contract revenue posted throughout the accounting modules are accumulated.
  • Cash Management: Providing contractors with accurate, up-to-date information on their cash position, the system is fully integrated with Payroll, Accounts Payable, and Accounts Receivable to handle checks and deposits in multiple bank accounts while an on-screen inquiry of a cash account shows the current checkbook balance. HR/PAYROLL

Human Resources - Personnel management software package designed to provide a highly flexible database for maintaining information on applicants and employees from the application/interview process through retirement. Files are maintained to record history for dependents, reviews, disciplinary action, benefits tracking, employee education, grievance tracking, employment, skills, accident tracking, salary, reward & drug testing.

Payroll - Fully integrated with Job Cost, General Ledger, Equipment Management, Cash Management and Human Resources system. Batch entry and easy editing make corrections a snap and multiple users can enter information directly from time cards onto one screen, capturing all required information to produce payroll checks, tax and insurance reports and union and certified reports.

EQUIPMENT MANAGEMENT

Job Costing - Job Cost is — and always has been — at the core of Vista. Designed to deliver timely, accurate accounting and operations info on job progress, Vista’s Job Cost provides an extensive library of reports and drill-down inquiries.

  • Depreciation: Depreciate all assets or selected assets, and generate depreciation adjustments monthly, quarterly, or yearly.
  • Maintenance/Repairs: Set up maintenance tasks and then use them to automatically generate services on an agreement. Set up required resources (labor, materials, and equipment) as needed for each class maintenance and repair task.
  • Location Tracking: Specify locations at which equipment is being used. Each time you transfer a piece of equipment, the system saves a history record to a table that tracks all movement of the equipment.

MATERIALS MANAGEMENT

  • Inventory: Tracking inventory, whether for sale to customers or for use on your own jobs or equipment is easily accomplished through Vista’s Inventory system. This system is highly integrated with Vista accounting and operations modules, including Purchase Order, Accounts Payable, Job Cost, Material Sales, Equipment Management, Project Management and General Ledger.
  • Material Sales: A full-featured order processing and materials transportation management system for contractors who produce and sell materials. Used in conjunction with Vista’s Job Cost, Equipment Management, and Inventory modules, Material Sales eliminates duplicate entry and streamlines information flow.

COSTS and CONTRACTS

  • Pre-Construction: The Pre-Construction module extends Vista’s integration by improving your pre-construction process, enhancing project team efficiencies and providing transparency in the project design, build and bidding process. It also offers instant access to your pool of qualified contractors.
  • Purchase Orders: Purchasing brings orderly workflow to the purchasing process from point of initial request, through soliciting vendor quotes, to final review, approval and issuance of purchase orders. Use as a company-wide system to track and monitor commitments, shipments and expenses.
  • Subcontracts: Fully integrated with Vista Job Cost and Accounts Payable, the Subcontract Ledger module tracks committed and actual costs, change orders and compliance issues, managing the complete process from subcontract “buy-out” and setup to final release of retainage.
  • Change Orders: Create and maintain both pending change orders (PCOs) and approved change orders (ACOs) from existing contract estimate details.
  • Cost/Revenue Projections and Forecasting: Project costs and revenue. Initialize revenue and cost forecasts for a contract.

We went with Viewpoint for our heavy construction management program a few years ago and it was head and shoulders above the other systems we looked at.

They allow us to job cost and assign our payroll hours to specific accounts. They were one of the few programs that offered an integrated payroll system so we did not have to go through a 3rd party.

We looked at some options with Software Connect but ended up staying with Viewpoint.

Usually in the owners’ meetings, the owners will have questions and in many cases without a cloud-based system, you’d just have to say, ‘I’ll have to get back to you’. Now, if the owners need something, I can get it to them right away. You save time two different ways: A) you can give the information to the client right then without having to wait, and B) when you do get back to the office, you don’t have to be focused on trying to chase paperwork and catch up with requests.

One of the main things we purchased Viewpoint for was the service management portion. We’re able to track our profitability as well as our costs on a company scale, a departmental scale, and we’re also able to track it on the individual work order. One of the main features I’ve really come to love is the service dispatch board; it is drag-and-drop and very easy to see all the detail at a glance of the job. Everything you need is right there at your fingertips.

You’ve got to go to the cloud — that’s where business is going. It’s better, it’s faster, it’s more secure and it gives you more flexibility. You see the vision Viewpoint has and it made perfect sense. All of those Viewpoint upgrades, SQL upgrades, server upgrades and database maintenance — we don’t have to worry about any of that stuff anymore.

We have seen some really great things from Viewpoint just over the last year. We’re still big fans of their products.

is a flexible accounting programs, but the color on the windows can not be changed. The headers on the billings module are to light, so I have to expend some time trying to find what I’m looking for. the application should allow to change the colors and bold headers for easy view.

The Good…

it allows for tax and miscellaneous fees for different cities. However, I can not find anywhere to set flags for special customer’s billings.

The Bad…

It doesn’t allow windos color changes and setting flag’s reminders for special billings.

It’s a construction focused ERP. It’s a SQL based relational database with a .net UI.

The Good…

What Vista sells itself on, is full access and control over the table structure and back end. However, they couldn’t not even get us logged into SSIS after months of paying for licenses, so it’s not much use.

The Bad…

They’re documentation of the system(s) is completely out of date, to the point it’s useless. If you don’t pay they hundreds of thousands of dollars, you’ll never know how, or even be able to use most the functionality on your own. Assume a $500k minimum investment here if you want a real ERP setup.

We had challenges with our legacy software. We had it for 20 years so it was very comfortable to use but we struggled with reporting. We had to do a lot outside of the system. This led to us not trusting the information because it was being pulled into different reporting systems and there was a chance for error.

Most people saw our system as only an accounting system. People wouldn’t take ownership of the information about their projects.

We evaluated a couple solutions by bring all departments together and we liked the user friendliness of Viewpoint. Our team saw how easy it was to use and how everything was integrated in one package.

We also didn’t have to use a lot of bolt ons to make it work. But if we did, it would be much easier to use with Viewpoint. This provided a lot of value to us, and also had improved financial reporting.

We like that it’s a widely used software. We also communicate with a lot of consultants in the industry who are familiar with Viewpoint which is a big asset because they can share experiences with us.
