Our Verdict…

While Gravity Software may not be a top pick for small, single-entity companies, it stands out for multi-location businesses seeking advanced features. Its cloud-based system impresses with multi-entity and multi-currency functionalities designed for intricate accounting needs.

The seamless integration with Microsoft Power Platform and data-driven reporting are strong points. But, for those who don’t need such complexity, Gravity might feel excessive–both in functionality and cost.

Multi-entity Capabilities

Gravity Software stands out with its robust multi-entity capabilities, specifically designed for mid-market companies. It excels at handling businesses with multiple locations, franchises, or consolidated organizations, providing a seamless solution for managing multiple entities under one platform. The multi-entity feature allows for real-time financial reporting across all entities, offering users an instant snapshot of their financial status across the board. It also helps streamline processes by avoiding duplicative entries, leading to increased efficiency and accuracy.

Extensive Reporting Capabilities

Gravity Software provides comprehensive and customizable reporting capabilities. It offers standard financial reports like Profit & Loss, Balance Sheet, and Cash Flow, and also has an advanced financial report writer that can generate multi-dimensional reports. These are critical for businesses with multiple entities, providing in-depth insights and analytics. Gravity also leverages Power BI for dashboards and more complex analytics, creating a tool for decision-makers.

Customizable Fields and Screens

Gravity Software offers customizable fields and screens, adding flexibility to cater to specific business needs. It allows businesses to create custom fields and screens without needing to know programming or coding. This feature lets companies tailor the software to their unique requirements, increasing productivity and efficiency.

AP Automation

Gravity Software has officially launched its comprehensive Accounts Payable (AP) automation feature, providing users with tools to streamline their AP processes. This new functionality focuses on two critical aspects: automating the conversion of vendor documents into data and facilitating electronic payments.

Each customer has a unique email address, enabling vendors to send PDF invoices directly. With the integration of Microsoft’s AI engine, these documents are automatically converted into data, accompanied by a confidence score that indicates the accuracy of the translation.

Additionally, Gravity Software leverages Microsoft’s Power Automate workflows to simplify the approval process. Approvers can now receive email notifications containing invoice details and approve or reject invoices directly from the email, eliminating the need to log into the software and significantly improving operational efficiency.

Furthermore, Gravity has also released its Direct ACH Payment Processing feature, enabling users to make electronic payments seamlessly, enhancing the overall accounts payable process by offering more efficient and secure payment options.

Pricing Plans

Gravity Software follows a transparent, subscription-based pricing model with no hidden costs. The pricing tiers are designed to scale as per the size and need of a business, ranging from a single user to up to however many are required.

Interestingly, they also offer special pricing for non-profit organizations that meet Microsoft’s non-profit eligibility requirements, such as being a 501c3. In such cases, a significant discount is offered for licenses.

It should be noted that while Gravity Software’s pricing includes full upgrades and support, the cost of Microsoft Power platform licenses, which Gravity runs on, is additional. However, Gravity Software assists clients in purchasing these licenses.

We had long outgrown QuickBooks

July 18th, 2019 • Roles: Purchaser & End User

Gravity Software has been a great fit for our company as we expand our entities. We had long outgrown QuickBooks but didn’t quite require an expensive and overly complex enterprise application. We’ve been able to streamline our internal accounting processes based on the capabilities of Gravity. We’ve eliminated (at least) two outside programs/processes that we previously utilized for reporting purposes.

If you’re a small to medium size business who does or does not need multi-entity functionality and you’re looking for an accounting solution with hardly any restrictions, you HAVE to consider Gravity Software. Being able to implement Gravity with little cost has been the biggest help for our growing dental practice. Some packages cost tens of thousands of dollars – Gravity is the PERFECT solution, from a financial standpoint, for small to medium size businesses with multiple locations.

This solution fills a void for mid-sized companies

July 17th, 2019 • Roles: Purchaser & End User

QuickBooks and Sage couldn’t handle our multiple entity needs. We had to log in and out of different applications to get the needed data and we wanted to run consolidated financials.

With Gravity, our month-end and year-end audits provide us with one database to manage. This solution fills a void for mid-sized companies needing accounting software. It provides us with ERP functionalities at an affordable price.

Gravity is there to fill that hole

May 7th, 2015 • Roles: Purchaser & End User

I’ve worked with accounting software for 25 years. There’s been a hole in the market for growing businesses… mostly companies that have outgrown the current standard (QuickBooks) at the entrepreneurial level but don’t have a product to go to except the higher level products like Great Plains and Sage and so on.

Gravity is there to fill that hole and provide a platform for companies that need more sophistication than QuickBooks can offer, more security, and more features, but do not want the complexity of a large accounting system.

We’re written on the Microsoft CRM platform, and that gives us customization capabilities for end-users. The end user can write their own workflow on top of their application to do their own approval processes and add fields to a screen. It’s a very simple process.

We’ve tried to price the product in-between. QuickBooks is pretty inexpensive for the online level, but Dynamics GP and Sage are $200-300/month/user, and we’re about $100/month/user with more security and a customizable platform.
