This is a tool you need to use, because I don’t see how you’d be efficient doing preservation and collection and tracking and monitoring without having something like this. When I took over the function of legal hold person, it was daunting to think of all the processes and things I’d have to learn. It was hard for me to wrap my head around it at the time but having Exterro made it easier. For me, it’s about the time I’ve saved and wanting to continue with the tool because I don’t know how much time I’d waste trying to figure out how my job function without it. I know that when I log in, my task takes me a minute to do.
The feature I find the best is the search feature—the advanced search. I spend a good portion of my day on that page. It allows me to exclude documents, include them, do ands and ors, I can do concept, I can do fuzzy searches. There is so much power in that tool and section. I can bring a collection that has 5,000 documents into an easy 1,000. It’s a huge benefit.
The fact that you would have project management, the fact that you have a legal hold tool, a collection tool, all that in one package—for some companies—can be very attractive. Some companies are looking for a way to pull that together into an eDiscovery schema workflow. Most technologies require a bit of training and understanding to really dive into it, and with Exterro you can dive into without much training.
One of the features that I love about Exterro is the non-custodial data sources. When I took over, I had no idea about the breadth of applications whether a company developed or 3rd party applications we used—we have over 600 we use. Being able to access that information and produce that data whether for a public records request or for collection for litigation, the NCDS aspect of Exterro has made that much more accessible.
